About the Position
The Regional Coordinator position is part of the Ministries Department and is responsible for coordinating the home repair program within an identified geographic area. The Regional Coordinator is involved in networking within communities to establish center facilities and families to serve; training staff; assessing volunteer and staff experiences; and overall management of the summer home repair program. The specific Regional Coordinator position’s duties will be discussed during the interview process. The Regional Coordinator is directly responsible to the Vice President of Home Repair.
This position can be based either in Johnson City, TN or Southwestern West Virginia. The incumbent is scheduled to work on a salaried basis. Irregular hours will be required and, if so, will be scheduled in advance by the employee’s supervisor. The incumbent is required to travel extensively throughout the designated region. Requirements for irregular hours will be discussed with the prospective employee prior to hiring.
- Secure facility lease agreements to house volunteers & staff in each county
- Hire and orient cooks to prepare meals during the summer program
· Coordinate with community contacts to identify referral sources, collect home repair applications and get the word out about ASP services in the county
- Compile county information for use by the Volunteer Department in communicating county and center expectations to volunteers
- Update documents (county profiles, center information, etc.) annually to be given to the summer staff prior to the start of staff training
- Facilitate home selection utilizing volunteers and seasonal staff prior to each summer
- Ensure housing facilities meet housing standards including obtaining necessary permits for housing volunteers, communicating additional equipment needs to the county set up team and fleet systems technician, etc.
· Assist in the planning and facilitation of staff training; to include scheduling, session planning, and contacting speakers
- Visit summer centers regularly throughout the summer
- Provide written and verbal feedback of each center staff and performance
- Provide thorough written evaluations on each CD
- Process staff and volunteer experience through examination of staff evaluations; plan for adjustments and improvements for future summers
- Ensure all counties end program years with balanced budget
- Possibly manage Summer Program Manager providing support and guidance through regular weekly meetings, and report status of Summer Program Manager’s Centers to the VP of Home Repair
Community Networking & Grant Compliance:
- Network within communities to establish and maintain contacts
- Host or attend meetings with community contacts to promote ASP’s home repair ministry
- Provide information to local media outlets (refer to Advancement Dept.)
- Meet with community and facility contacts to evaluate summer program following each summer
- Maintain contacts on the Community Advisory Council, onboarding new members if/as needed, engaging with them between quarterly meetings, and accomplishing goals and strategies as set out by the CAC
- Refer any local grant connections to the grant writing team, following up with field contacts as needed
- Communicating grant information to the appropriate ASP staff and grant administrators including but not limited to: grant reports, regular updates, budget considerations, final reports, marketing needs, etc.
- Additional responsibilities for this position in regards to Charleston, WV:
- Maintain and grow partnerships with the City of Charleston and local stakeholders for ASP to be an effective housing partner; actively participate in stakeholder meetings to maintain communication across networks
- Work collaboratively with new build, home repair, and advancement to cast the vision for growth in Charleston, set framework for programs, and establish funding sources to sustain programs
- Work collaboratively with the volunteer department to recruit and establish partnerships for service area volunteers and workforce development opportunities
- Maintain thorough electronic and hard-copy documentation for each county
- Communicate relevant updates to Ministries Department regularly
- Meet assigned deadlines for all tasks and projects
- Seek out applicable training opportunities to enhance skill and knowledge
- Adhere to overall departmental budget guidelines
- Prepare for and participate in ongoing evaluation process
